Stiebel Eltron Water Heater Not Working? Start With the Inlet Filter—and Understand the Heat Pump

If your Stiebel Eltron water heater is not working, start with the cold water inlet filter and the high-limit reset before you order service. Most “not working” calls are not the heater’s fault. I know this from four years of managing facilities purchasing for a 140-person company.

Last month I ordered a Milwaukee fan, an air filter car owners need for their vehicles, and spent a good fifteen minutes explaining how to use an air compressor to a new hire. But the request that always makes me stop is “the Stiebel Eltron water heater is not working.” If that’s the phrase that brought you here, this is the post I wish I’d found in 2020.

I’ve been the office administrator for a 140-person manufacturing company since 2020. I manage facilities and maintenance purchasing—roughly $180,000 a year across maybe 25 vendors—and I report to both operations and finance. When I first started in this role, I assumed a water heater with no hot water was broken beyond repair. I ordered replacement units first. The question they should ask instead is “what changed in the building this week?” Often someone closed a supply valve, flushed a line, or did a small repair that sent debris into the water pipes. The Stiebel Eltron inlet filter catches that debris. If it gets clogged, the flow sensor sees low flow and the heater won’t start. That looks like a dead unit. It isn’t.

To understand why, you need a quick intro to Stiebel Eltron heat pump technology. A heat pump water heater is basically a refrigerator in reverse. It pulls heat from the air around it and moves it into the water. That’s why it’s efficient, but it also means the installation space matters more than with a simple resistance unit. Our heat pump unit is in a mechanical room that gets warm from other equipment. When I thought about moving it to a cold, tight closet, I read the spec sheet carefully (this was January 2025) and the message was clear: the COP—coefficient of performance, or the ratio of heat output to electricity input—drops as the surrounding air temperature drops. One thing I appreciate about Stiebel Eltron is that their marketing gives you numbers, not adjectives. The Troubleshooting Checklist I Use Before Calling Anyone

  1. Write down the error code. If you call support without the code, you get the first line of the script and you lose a day. The error code tells them more than “it’s not heating.”
  2. Check the breaker and disconnect switch. I know that sounds too simple. Our crew once spent a whole morning “diagnosing” a unit that I had accidentally unplugged the day before. (Yes, that was me.)
  3. Clean the cold water inlet filter. This solves about half of our “not working” calls. It’s a ten-minute job: shut off the water, unscrew the inlet connection, rinse the screen, put it back.
  4. Reset the high-limit switch. If it trips again quickly, that’s not a random sensor problem. That’s air in the system, low flow, or a failing component.

If your unit is a Stiebel Eltron heat pump model, add a few extra things to your calendar. Clean or replace the air filter on the heat pump intake, keep the space around the unit clear, and check the condensate drain. A blocked drain can cause a shutdown that looks like a major failure. Also, if you’re in an area with hard water, plan a tankless flush every 12 to 18 months. No inlet screen will fix scale on a heat exchanger.

And that “air filter for a car” part of my ordering life? It’s the same lesson. A dirty filter changes performance. A clogged intake filter on a heat pump does the same thing. You can’t diagnose that on a phone call, but you can prevent it.

When to Stop Fixing and Replace

Boundary condition: not every Stiebel Eltron water heater can be saved. If the tank is leaking, if the unit keeps tripping the high limit after the inlet screen is clean, or if it’s making mechanical noises that sound like grinding, call a licensed technician. For heat pump units, refrigerant issues are not DIY. If the unit is old enough that parts are hard to find, replacing it might be cheaper than chasing an intermittent fault.

I don’t want to promise that every repair is a cheap filter cleaning. That’s not true. But I do want to save you the 90-minute service call that we paid for because I didn’t check the obvious things first.

Being the person who orders everything else—Milwaukee fans, air filters for cars, and occasionally explaining how to use an air compressor—means I can’t say “not my job” when the water heater stops working. But you also don’t need to be an HVAC expert. Check the inlet screen, write down the error code, and respect the heat pump’s need for air. That’s the whole lesson, and it’s worked for us.
