I'm an office administrator for a mid-sized company. I manage all our facility ordering—roughly $120,000 a year across eight vendors. When I took over purchasing in 2020, I quickly realized that the best water heater, fan, or thermostat depends a lot on the building you're in. What works for a four-person startup doesn't necessarily work for a three-story office.

The fundamentals haven't changed: you still need heat, hot water, and decent air. But the execution has transformed. Tankless and heat pump water heaters are now reliable. Smart thermostats actually work. Silent fans aren't a dream. What was best practice in 2020 may not apply in 2025. So let's break it down by the situations I see as an admin buyer.

Three office scenarios I keep seeing

I classify offices by three things: headcount, square footage, and how steady the demand is. That gives us three common scenarios:

  • Small office / flexible workspace: under 10 people, no dedicated mechanical room, irregular hours.

Bottom line

There's no single 'best' equipment list. The industry has changed a lot since 2020—efficiency standards, smart controls, heat pump prices—but understanding your load, getting professional installation, and planning for maintenance still matter. What was best practice in 2020 may not apply in 2025.

So count heads, check the mechanical room, and talk to someone who's actually stepped foot in your building. Then you'll know whether to grab a tankless unit or call an engineer.
